Manager, Customer Care & Facilities

The Manager, Customer Care & Facilities is accountable to the Vice President, Sales. In this role, the individual will manage the Customer Care function, support the field sales organization, and oversee the proper functioning of the office.

This is an afternoon-based (1 pm to 6 pm), part-time role based in our facility in North Billerica, MA and offers a flexible work environment.

The ideal individual could be a recent college graduate, or someone with customer service experience. The key to success is passion for customer satisfaction, collaboration with the sales organization, attention to detail, and good organizational skills. Demonstrated interest in continuous improvement, simplification, efficiency, and automation through coursework or experience is highly desirable.


Customer Care management

  • Process sales orders and customer requests
  • Manage new customer set-up, agreements
  • Invoicing and credit memos
  • Complaint handling
  • Return goods authorizations
  • Optimize standard operating procedures
  • Assist in shipping (if needed)

Sales support

  • Day-to-day communications with field organization
  • On- and off-boarding
  • Trunk stock management
  • Order fulfillment (literature, demo equipment, etc.)

Facilities management

  • Oversee facility vendors, e.g. IT, phone, supplies, custodian
  • Handle supplies for office
  • Assist with running the office, e.g. labs, events, meetings
  • Coordinate with landlord


  • 2-year associates degrees, 4-year bachelors degree, and/or experience in relevant assignments
  • Excellent communication skills, particularly phone and email correspondence
  • 3+ years of sales administration, customer service experience desirable
  • QuickBooks Desktop essential, Manufacturing optional
  • Microsoft Office Suite, with particular emphasis on Excel
  • Experience in a regulated medical manufacturing environment
  • Medical device sector experience desirable
  • Experience in a start-up/growth stage environment preferable
  • Inventory management experience desirable

Work environment

  • No travel required
  • Hybrid work model – home and office
  • May entail lifting up to 30 lbs.
  • Requires COVID-19 vaccination
